The goal is to help organisations navigate the complexities of hybrid work and create a thriving, collaborative work environment that benefits both employees and the company as a whole.

What are Hybrid Desk Booking Tools?

Hybrid desk booking tools are software solutions designed to help organisations manage their workspace in a flexible, hybrid work environment. These tools enable employees to reserve desks and other workspaces in advance, ensuring that they have a dedicated space to work when they come into the office. The core functions of hybrid desk booking tools include:

1. Desk Reservation: Employees can easily view available desks or zones and book them for specific dates and times, often through a user-friendly web interface.

2. Scheduling: Hybrid desk booking tools allow employees to plan their in-office days in advance, providing visibility to their colleagues and managers.

3. Workspace Analytics: These tools provide valuable data on workspace utilisation, occupancy rates, and employee attendance patterns, helping organisations optimise their office layout and resources.

By implementing hybrid desk booking tools, organisations can effectively manage their workspace, optimise resource utilisation, and support the needs of their hybrid workforce.

The Benefits of Hybrid Desk Booking Tools

Hybrid desk booking tools offer numerous benefits to organisations looking to optimise their workspace and support a hybrid workforce. By implementing these tools, companies can experience:

1. Enhanced Space Optimization: Desk booking software helps organisations reduce real estate costs by allowing them to adapt to fluctuating capacity needs. By understanding workspace usage patterns, companies can make informed decisions about office layout, desk allocation, and even downsizing or expanding their office space.

2. Improved Employee Experience: Hybrid desk booking tools offer employees choice and autonomy in their work arrangements. As Satya Nadella, CEO of Microsoft, stated in a recent interview, 'Hybrid work represents the biggest shift to how we work in our generation. And it will require a new operating model, spanning people, places, and processes’. By providing the flexibility to choose when and where they work, organisations can boost employee satisfaction and productivity. This autonomy is particularly valuable in a hybrid setting, where employees appreciate the ability to balance in-office and remote work.

3. Increased Visibility: With hybrid desk booking tools, managers gain a clear understanding of workspace usage and can track in-office attendance patterns. This visibility is crucial for managing a hybrid workforce, as it helps identify collaboration opportunities, monitor employee engagement, and ensure that teams have the necessary face-to-face interaction.

4. Data-Driven Decision Making: The analytics provided by hybrid desk booking tools enable organizations to make informed decisions about their workplace. By analysing usage trends, companies can identify peak occupancy times, underutilised areas, and opportunities for space optimization. This data-driven approach helps organisations adapt to the evolving needs of their hybrid workforce and make strategic changes to their office environment.

The benefits of hybrid desk booking tools extend beyond simple space management. By leveraging these tools effectively, organisations can create a more agile, responsive, and employee-centric workplace that supports the success of their hybrid workforce.

How to Leverage Desk Booking Tools for Increased In-Office Time

Hybrid desk booking tools are not just about managing workspace; they can also be powerful allies in encouraging employees to spend more time in the office. By leveraging these tools strategically, organisations can create a dynamic, collaborative workplace that entices employees to choose in-office work more frequently. Here are some key strategies to boost in-office attendance using desk booking software:

1. Team Collaboration Days: Designate specific days for teams or departments to work together in the office. By coordinating in-office presence, teams can foster collaboration, strengthen relationships, and tackle complex projects more effectively. Desk booking tools can facilitate this by allowing managers to block off clusters of desks for their teams on designated collaboration days. This approach ensures that team members have the opportunity to work side-by-side, share ideas, and build camaraderie. Tools like DuoMe’s Hybrid Desk Booking can automatically suggest good collaboration days based on who people work with.

2. "Neighbourhood" Booking: Encourage employees to reserve desks in close proximity to their colleagues or team members. By creating "neighbourhoods" or zones within the office, organisations can foster a sense of community and belonging. Desk booking tools that offer zones can make it easy for employees to locate and book desks near their peers. This proximity promotes spontaneous interactions, knowledge sharing, and a more vibrant office atmosphere.

3. Gamification and Incentives: Introduce gamification elements or incentives to reward employees who spend more time in the office. Desk booking tools can track individual office attendance, allowing organisations to create leaderboards, award points, or offer perks to those who frequently work on-site. These incentives can be tied to tangible rewards, such as gift cards, extra vacation days, or professional development opportunities. By making office attendance fun and rewarding, organisations can motivate employees to choose in-office work more often.

4. Highlight In-Office Events: Use desk booking tools to promote workshops, lunch-and-learns, social events, and other in-office activities. By showcasing the unique experiences and opportunities available on-site, organisations can create a sense of excitement and FOMO (fear of missing out) around office attendance. Desk booking software can be used to send targeted notifications about upcoming events to employees who have booked desks on specific days, encouraging them to participate and engage with their colleagues.

By implementing these strategies and leveraging the capabilities of hybrid desk booking tools, organisations can create a compelling case for in-office work. The key is to strike a balance between structure and flexibility, providing employees with the autonomy to choose their work location while also fostering a sense of community, collaboration, and engagement within the office environment. As organisations navigate the challenges of hybrid work, desk booking tools can be a valuable asset in shaping a workplace that adapts to the needs of a distributed workforce while still reaping the benefits of face-to-face interaction.

Additional Strategies to Increase Office Attendance

In addition to leveraging desk booking tools, organisations can implement various strategies to encourage employees to spend more time in the office. These strategies focus on making office days more valuable, creating a welcoming workplace environment, and addressing employee concerns. Here are some key approaches:

1. Making Low-Capacity Days Valuable: Organisations can boost attendance on typically low-capacity days, such as Mondays or Fridays, by offering targeted initiatives. This might include scheduling in-office training sessions, enabling entire teams to attend on these days, or even requiring employees to attend a certain number of low-capacity days each month. By making these days more purposeful and collaborative, organisations can distribute office attendance more evenly throughout the week.

Example: Your company notices that Fridays have the lowest office attendance. To address this, they implement "Learning Fridays," where they host a series of professional development workshops and team-building activities. Managers encourage their teams to attend these sessions together, fostering a sense of community and making Fridays more engaging and valuable.

2. Investing in a Welcoming Workplace: To entice employees to choose in-office work, organisations must create a comfortable, inviting, and well-equipped workspace. This includes offering amenities such as coffee, snacks, and ergonomic furniture. By investing in a pleasant office environment, companies can make the workplace feel like a destination rather than an obligation.

Example: revamping office space to include a variety of work zones, from collaborative areas with whiteboards and comfy seating to quiet focus rooms for individual work. Partner with a local café to provide healthy lunch options, making the office a more appealing place to spend time.

3. Emphasising the Value of Face-to-Face Interaction: While remote work has its advantages, it's essential to highlight the unique benefits of in-person collaboration. Face-to-face interactions are particularly valuable for activities such as mentorship, brainstorming, and building strong team relationships. By communicating the importance of these in-person experiences, organisations can motivate employees to prioritise office time.

Example: Launch a "Mentor Matchup" program, pairing junior employees with experienced colleagues for regular in-office mentoring sessions. By emphasising the value of face-to-face guidance and knowledge sharing, the company encourages both mentors and mentees to spend more time in the office, fostering personal growth and strong professional connections.

4. Addressing Employee Concerns: To effectively increase office attendance, organisations must understand and address the reasons behind employees' preference for remote work. Conducting surveys or focus groups can help identify concerns such as commute times, work-life balance, or health and safety issues. By actively listening to employee feedback and implementing solutions, companies can create a more inclusive and accommodating workplace that encourages in-office presence.

Example: Global Enterprises surveys its employees and discovers that many are hesitant to return to the office due to long commute times. In response, the company introduces a flexible work policy that allows employees to adjust their schedules to avoid peak traffic hours.

By combining these strategies with the effective use of hybrid desk booking tools, organisations can create a comprehensive approach to boosting in-office attendance. The key is to remain adaptable, responsive, and attuned to the needs of the workforce, continually refining and improving initiatives based on employee feedback and evolving workplace dynamics.

Conclusion

Hybrid desk booking tools play a crucial role in helping organisations navigate the complexities of the post-pandemic workplace. As businesses embrace hybrid work models, these tools provide a powerful solution for managing workspace, optimising office utilisation, and fostering collaboration among distributed teams.

By leveraging desk booking software strategically, organisations can encourage employees to spend more time in the office, reaping the benefits of face-to-face interaction while still maintaining the flexibility that hybrid work offers. From designating team collaboration days to gamifying office attendance, these tools enable companies to create a dynamic, engaging workplace that adapts to the needs of a hybrid workforce.

However, the success of a hybrid work environment extends beyond the implementation of desk booking tools alone. It requires a holistic approach that encompasses investment in a welcoming office space, open communication about hybrid schedules, and a commitment to addressing employee concerns. By combining these strategies with the effective use of desk booking software, organisations can strike the right balance between remote work and in-office presence.

As we move forward in this new era of work, it is clear that hybrid models are here to stay. By embracing the power of hybrid desk booking tools and adopting a proactive, employee-centric approach, organisations can create a thriving, collaborative workplace that drives productivity, innovation, and success in the years to come.

About Author

Graham Joyce is co-founder of DuoMe, a flexible working advocate and a frequent panellist/commentator on the issues of flexibility or hybrid working.

Boost collaboration and productivity in your hybrid workplace with these effective desk booking strategies and best practices. Challenges like wasted space, difficulties with collaboration, and employee dissatisfaction are common as companies navigate this new reality.

But here's the good news: with intentional strategies, you can optimise your hybrid office to boost productivity, foster connection, and attract talent back on-site. In this article, we'll walk through 8 proven ways to make your hybrid workspace work harder and smarter for your team. Let's dive in!

Strategy 1: Assess Current Space Utilisation

The first step to maximising your hybrid office is understanding how it's currently being used - or underused. Leveraging data analytics, you can uncover key insights like:

Office attendance patterns: What % of employees are coming in and how often?

Desk, zone or meeting room usage: Which spaces are in high demand vs. sitting empty?

Peak usage times: When is your office busiest and quietest?

By tracking metrics like occupancy rates, you can identify spaces that are consistently underutilised and could potentially be repurposed, allowing you to downsize and save on real estate costs. One company that implemented hybrid workplace analytics was able to reduce their office footprint by 30% without impacting employee experience.

To get started, consider investing in hybrid office space analytics software or a hybrid desk booking tool that can provide real-time and historical data on how your space is being used. This data-driven approach is key to making informed decisions about your space.

Strategy 2: Implement Hybrid Desk & Space Software

In a hybrid office, the old model of one desk per employee no longer makes sense. Enter hot desks or desk zones. This system allows employees to reserve a workspace in advance through a software platform.

The benefits are threefold:

Prevents desk shortages and "space wars" when more people come in

Improves space utilisation by avoiding large amounts of vacancies

Empowers employees to choose where they'll work based on their needs, who they want to work with and preferences

Hybrid desk booking tools also offer presence or schedules of who plans to be in the office when so employees can plan who to be in the office with. Plus, the data collected by hybrid desk booking software provides valuable insights into usage patterns that can inform your space planning decisions. You may find that certain types of desks or areas are more popular and adjust your layout accordingly.

One global financial services firm implemented desk zone booking across their portfolio and saw space utilisation increase from 60% to 85%. Employee satisfaction with the booking process was over 90%.

When rolling out desk booking, be sure to set clear policies around cancellations, no-shows, and how far in advance employees can book. Provide training sessions to help employees adopt the new system and get the most value from it.

Strategy 3: Create Flexible, Multi-Purpose Spaces

One of the keys to a high-performing hybrid office is flexibility. By designing spaces that can be easily reconfigured for different uses, you can accommodate the diverse needs of your hybrid workforce.

Consider investing in modular furniture, movable walls, and adaptable rooms that can transition from a focused work area to a collaborative meeting space in minutes. For example, a lounge with comfortable seating can double as a casual brainstorming zone or a space for small team meetings.

These agile workspaces foster the kind of spontaneous collaboration and interaction that remote employees often miss out on. They also allow you to maximise your square footage by serving multiple purposes throughout the day.

One tech company redesigned their office with flexibility in mind and saw a 25% increase in space utilisation. Employees reported feeling more energised and engaged in the dynamic environment.

Strategy 4: Invest in the Right Technology

Seamless collaboration between in-office and remote employees is essential for hybrid team success. That's why investing in the right technology is a must.

Outfit your meeting rooms with high-quality video conferencing equipment, digital whiteboards, and wireless content sharing capabilities. This ensures that virtual participants can engage just as effectively as those in the room.

Consider solutions that integrate with your other workplace tech stack, like desk booking software, so employees can easily find and reserve a space with the amenities they need.

Don't forget about your remote employees' home office setups. Providing furniture and reliable tech equipment shows that you value their well-being and productivity equally to your in-office staff.

By managing your technology centrally and providing ample IT support, you can create a frictionless digital experience for your entire distributed workforce. One study found that organisations with strong hybrid work tech strategies saw a 21% boost in employee performance.

Strategy 5: Prioritise Employee Health and Wellbeing

Healthy employees are productive employees. And after the challenges of the past few years, workers are placing an even higher premium on wellbeing in the workplace.

Incorporate ergonomic furniture, abundant natural light, and biophilic design elements like plants and nature-inspired textures to create a comfortable and calming environment. Designate quiet zones for focused work and social spaces for relaxation and connection.

Providing amenities like healthy snacks, fitness classes, or meditation rooms can also entice employees to come on-site. One survey found that 69% of employees would give up other benefits for better workplace wellness offerings.

The key is creating spaces that support both physical and mental wellbeing. When employees feel good in the office, they're more likely to view it as a destination rather than an obligation. And that translates to higher engagement, productivity, and retention in the long run.

Strategy 6: Establish Clear Hybrid Work Policies

To ensure your optimised office is used effectively, it's crucial to set clear guidelines around hybrid work. Establish policies on when and how often employees are expected to come on-site. Some key questions to address:

Will certain teams or roles need to be in the office more than others?

Are there core "in-office" days for collaboration or key meetings?

How will you ensure fairness and consistency in policy application?

Transparent communication is essential here. Employees should understand the reasoning behind the policies and feel that they are being applied equitably. Consider providing training sessions on how to make the most of your hybrid office, from booking spaces efficiently to collaborating effectively with remote colleagues.

One study found that organisations with clearly defined hybrid work policies saw 27% higher employee performance than those without. So don't leave it up to chance - set your team up for success with a well-structured hybrid work model.

Strategy 7: Gather Employee Feedback Regularly

Your employees are your most valuable source of insight when it comes to your hybrid workspace. Regularly seek their feedback to understand what's working well and where there are opportunities to improve.

Conduct surveys to gather quantitative data on satisfaction with the office environment, technology tools, and hybrid policies. Complement this with focus groups or informal conversations to dive deeper into qualitative insights.

Involving employees in design decisions can also drive engagement and a sense of ownership over the space. Consider forming a hybrid workplace committee with representatives from different teams to provide ongoing input.

By actively listening and iterating based on employee feedback, you can create a workspace that truly meets the needs of your unique workforce. One organisation that implemented quarterly employee pulse surveys saw a 32% increase in hybrid office utilisation and a 20% boost in employee satisfaction scores.

Strategy 8: Experiment and Embrace Flexibility

The reality is, there is no one-size-fits-all approach to the hybrid office. What works for one organisation may not work for another. The key is to embrace a spirit of experimentation and continuous improvement.

Pilot different space configurations, technology solutions, and hybrid work models to see what resonates with your team. By analysing the latest research around workday efficiency—from the motivating potential of fresh starts to the drain of meeting overhangs—we will uncover insights into when employees truly thrive.

Ultimately, the goal is to provide guidance on optimising hybrid schedules in a data-driven way. Surveys reinforce this belief, with one reporting Monday as the “most effective workday” for over 40% of respondents.

However, opposing research muddies the water. A 2022 study by the National Bureau of Economic Research found that remote employees often experience a "Monday productivity dip," with a significant drop in activity compared to other weekdays, which could be attributed to "meeting hangovers" and difficulties adjusting after time off. This aligns with findings from RescueTime, which indicate that workers are most likely to do their most focused work on Tuesday, with productivity starting to decline on Mondays. Potential reasons cited for low Monday motivation include fatigue from weekend activities, stress anticipating the workweek, and facing a backlog of unread messages and meeting follow-ups.

So if not Monday, when do employees thrive? The data points to Tuesdays as a contender for the top productivity spot. Reasons include overcoming the Monday blues and settling into efficient rhythms, riding momentum from tasks completed the day before, and renewed focus on goals for the remainder of the week. Surveys of office-based employees also show Tuesdays, along with Wednesdays and Thursdays, as peak attendance days - allowing for greater in-person collaboration.

Wednesdays also fare well in research on workday efficiency. One study saw tasks completed fastest on Wednesdays compared to other midweek days. Surveys likewise highlight Wednesday as having one of the week’s highest productivity ratings in multiple industries. Explanations include hitting a midweek stride and momentum.

Thursdays follow closely behind, potentially explained by having the most employees physically present in offices for collaborative work. However, some studies point to attention beginning to drift toward the impending weekend by Thursdays for some portions of the workforce.

Lastly, the jury is out on Fridays. While offering the benefit of uninterrupted focus for remote workers, surveys reveal mixed perceptions of Fridays as both highly productive and challenging to maintain motivation. Either way, their productivity levels tend to vary significantly based on industry and working style.

While Mondays tend to be overhyped, each workday brings its own rhythms and optimal conditions depending on individual preferences, job types, and work environments. But the data suggests organisations would do well to bet on Tuesdays and Wednesdays for harnessing team-wide peak performance.

The Hybrid Conundrum: Navigating Peaks in the Home and Office

The rise of hybrid working introduces a complex productivity puzzle for modern organisations. While remote schedules allow for focused individual work, office days enable collaborative momentum. The challenge lies in aligning these peaks amidst competing priorities.

Research shows the benefits of both worlds. Employees report higher productivity on remote days due to fewer distractions and interruptions. Surveys also reveal over 75% of workers preferring to tackle complex tasks like analysis or writing from home.

However, in-office days unlock their own perks. Centralised workspaces allow for organic brainstorming, whiteboard sessions, and shoulder-to-shoulder teamwork. Relationship-building also thrives on site through face-to-face conversations.

As a result, managers walk a tightrope balancing individual working styles with collaborative demands. “When I’m home, I’m extremely productive. But then I feel out of the loop with my team,” a sentiment heard so often by managers it’s become known as the hybrid disconnect.

While people find flow in remote work, team or project based blocks of collaboration sessions on agreed days is when creativity and strategy align. People save their deepest individual work for other days when they are remote.

A 2022 study by Microsoft found that over 40% of the global workforce is considering leaving their current employer within the year, with hybrid employees struggling to juggle team cohesion with personal productivity rhythms. This sentiment is echoed in a report by Buffer, which states that while 97% of employees would like to work remotely at least some of the time, they also face challenges such as collaboration and communication. Workers also reported difficulty tracking project progress and needs for in-person coordination.

Ultimately each organisation must experiment to find its hybrid groove. The following solutions can pave the way for a thriving cross-functional workflow:

Data-Driven Scheduling

Analytics offer insights into when teams collaborate best. For instance, data from Asana's Anatomy of Work Index indicates that workers spend 60% of their time on work about work, such as emails and meetings, suggesting that optimizing collaboration times could significantly increase productivity. Furthermore, a study by Clockwise has shown that flexible work hours can lead to a 24% decrease in collaboration overload, allowing for more efficient use of in-office days. Assessing meeting patterns and project cycles can show optimum “together time.” Scheduling core in-office days around these collaboration events allows for organic creativity.

Flexible Focus Days

Conversely, guaranteeing employees set digital-free days or time blocks boosts space for deep work. Whether Mondays or Fridays, offering consistent home-based focus time lets workers maximise personal productivity. Protecting these periods prioritises both group and individual progress.

Communication & Connection

Hybrid models demand transparent communication between on-site and off-site members. Shared calendars, goal tracking, and virtual meetings keep everyone aligned. Most importantly, remote workers should be actively included in sessions happening in the office.

Reflections & Iterations

No hybrid solution is one-size-fits-all. Gathering ongoing feedback allows for fine-tuning team rhythms. Employees also need avenues to voice frustrations to prevent brewing resentment between office and home cohorts. A little empathy goes a long way.

By taking a data-backed approach, companies can pivot the hybrid challenge into a productivity superpower.

Unlocking Potential: Harnessing Data and Psychology for a Thriving Workforce

The quest to pinpoint the most productive work days has perplexed managers and workers alike. With the rise of remote and hybrid models, unlocking peak performance has become even more complex. Should companies bank on the motivating potential of Mondays or the uninterrupted focus of Fridays? The answers remain unclear.

Yet by leveraging data, research, and a keen understanding of workplace psychology, organisations can foster environments optimised for employee thriving.

Conducting Internal Research

Companies would benefit from surveying their own workforces to uncover personalised productivity insights. Assessing which days employees feel most motivated and focused provides a launchpad for tailoring schedules.

Likewise, gathering data around team collaboration patterns - peak times for meetings, brainstorms, and work socialising - spotlights the optimum in-office days. Companies can then build hybrid schedules around these collaboration spikes to maximise creative synergy.

Promoting Work-Life Alignment

The reality is peak performance aligns with peak wellbeing. Whether offering flexible schedules, remote work options, or resources for healthy habits, companies play a key role in employee vitality.

Beyond physical health, promoting psychological safety and work-life balance boosts engagement and creativity. Employees who feel secure, valued, and empowered drive business success.

Fostering Open Communication

Hybrid models thrive on transparent communication and inclusion. Providing open forums for employees to voice questions, concerns, and suggestions allows for continuously optimising team coordination.

Likewise, clearly conveying company vision while celebrating employee achievements fosters trust and camaraderie. The result is a culture of collective purpose.

Empowering Personalised Schedules

In the end, every employee has unique energy levels and working styles. Equipping staff with data around their peak productivity times, along with tools to plan schedules accordingly, returns agency into their hands.

The future of work offers unparalleled flexibility. Let’s solve the when and where of peak performance - together.

Conclusion: The future is flexible

The quest to decode peak performance has entered a new era amidst tectonic shifts in how, when, and where we work. While the research highlights promising patterns in employee energy and efficiency, no single formula applies across diverse industries and working styles.

Yet a few definitive truths emerge. Employees crave flexibility to align working rhythms with personal needs. They thrive when empowered to balance focused effort with creative collaboration. And teams are most productive when backed by psychologically safe, supportive cultures.

Ultimately, as hybrid models become the norm, the future points toward adaptable systems optimised for worker wellbeing. Companies must continue gathering data, listening to employees, and evolving approaches to distributed work.

By anchoring flexible frameworks around inclusive communication and compassionate leadership, the potential for human achievement has no limits. Recognise opportunities to introduce new agile environments aligned with activity-based working.

Definition: Activity-based working (ABW) is a work style that empowers employees to choose from a variety of settings according to the nature of their tasks, thereby fostering productivity and engagement. Studies show over 75% of companies adopting ABW report increased employee satisfaction. It is an organisational strategic framework that recognises the diversity of activities people perform in their day-to-day work and provides a variety of work settings, supported by the right technology and culture. This approach emphasises the creation of a culture of connection, accountability, and trust, and allows individuals and teams to perform to their potential. ABW is not just about building spaces dedicated solely to work, but also about designing places that cater to individuals' personal and professional needs

Utilisation Analysis

Leverage desk and room booking data, sensor technology or manual surveying and sampling to quantify utilisation rates across working zones over time.

Occupancy Rates: Assess what percentage of time each area is occupied on average. For example, the collaboration pods may have a 56% occupancy rate, meaning they are in use 56% of work hours on average. Meeting rooms may have a 32% occupancy rate. Aim for 40-60% for optimal utilisation.

Peak Usage: Identify peak occupancy periods, such as Monday mornings for focus rooms. This section provides comprehensive guidance on implementing flexible space planning strategies focused on supporting hybrid teams.

Adopting Activity-Based Working

Activity-Based Working (ABW) is a concept centred on crafting different spaces tailored for specific work modes, rather than having assigned desks. Employees can select the most fitting area for their current task.

For a small office, reducing down fixed allocation desks and creating hot desking zones is the key change. Additionally, adding some spaces for different types of work like meeting rooms with video conferencing technology, phone booths for private individual work and some lounge space for casual interactions and community.

For a larger office, quiet zones allow focused individual work. Enclosed pods facilitate private calls and video meetings. Open collaboration spaces with modular furniture and large displays encourage team co-creation. Breakout areas offer a relaxed vibe for recharging.

The key is providing diverse, ergonomic environments using great acoustics, air quality, lighting and promoting movement. Ensure all spaces enable remote participants to seamlessly join via video conferencing and screen sharing.

ABW spaces feature self-service technology, including hot desk and room booking platforms where workers can reserve spaces fitting their needs. Hybrid location schedules are essential for letting people know when they should be in the office or plan their office days based on who they want to collaborate or work with in person.

Benefits of activity-based working include:

Agility - Employees choose the optimal spot for each task.

Collaboration - Visibility and unassigned seating enhance connections between in-office and remote staff.

Efficiency - Shared workstations reduce overall space requirements by up to 30 %, with leading companies like Microsoft seeing 60% higher utilisation rates after implementing hot desking policies.

Engagement - Employees feel trusted to manage their own working patterns.

Assessing user experience through surveys and occupancy analytics allows for continual optimisation of space offerings. Expect cultural acclimatisation to empowered, activity-based working.

Crafting Productive Spaces

Every activity-based workspace should facilitate users’ comfort, focus and job effectiveness. Offer whiteboards, sticky notes and high-top seating.

Private Call Booths: Insulated enclosures for private calls. Equip with monitors, headsets and smart video capabilities.

Recreation Nooks: Casual lounge-style areas for relaxation and community building during breaks. Provide healthy snacks, games and community news/events screen.

Supporting Virtual Interactions

Remote participants should feel as equally included as on-site colleagues. Evaluate every workspace's virtual collaboration readiness:

Video meeting abilities from any space, including wireless screen sharing

High-quality, multi-directional microphones

Large displays and digital whiteboards

Tools providing consistent meeting experiences via laptops or room systems

Background noise-cancellation and consistent lighting

Continue optimising spaces based on user feedback surveys.Meeting Room Innovation

Meetings now regularly include both office-based and remote attendees. Consequently, companies must rethink meeting room design, tech capabilities and booking processes.

IT teams should standardise video conferencing solutions across all meeting rooms, ensuring a reliable, high-quality experience. Wireless content sharing allows easy collaboration between in-person and remote participants.

Invest in modular, movable furniture to enable quick room reconfigurations as needs shift. Include large displays or projectors, digital whiteboards, and advanced audio.

Look for intelligent location scheduling features in your desk or space booking app with features like:

Search when people, teams or project groups that will be in in the office

Ability to reserve spaces or desks with advanced tools enabling automatic allocation or recommendations (this reduced the overhead for employees)

Analytics on usage and occupancy patterns to optimise planning

Make sure to provide spaces supporting a diversity of meeting types and sizes beyond traditional boardrooms, such as:

Huddle Rooms: Smaller spaces for quick collaborative sessions. Include sit-stand desks, wall displays and video conferencing.

Innovation Labs: Creative environments to encourage informal problem-solving. Feature reconfigurable furniture, whiteboards and presentation technology.

Hybrid Studios: Medium-sized rooms designed for hybrid meetings, training and events. Allow for both in-person and virtual co-creation.

Continuously survey employee needs and refine bookable spaces based on demand trends.

Additional Enabling Technologies

A variety of tech solutions facilitate efficient hybrid space management:

Desk, Space & Room Booking Software: Tools for easily reserving desks or space in zones if you don't use numbered desks. This “hot desking” facilitates sharing and flexibility. However, some companies implement a hybrid approach, with a subset of desks being individually assigned long-term alongside the shared seating pool.

Considerations include:

Employee preferences - Balance providing familiarity for some and flexibility for others

Job types - Roles requiring multiple monitors or specialised equipment may need owned desks

Cost savings - Assign more desks to fully realise reduced footprint

Continually assess utilisation patterns to optimise ratios between assigned and shared desks. JLL recommends a ratio of (60%) unassigned to (40%) assigned desks for most companies adopting ABW.

Common Area Innovation

Informal common spaces allow employees to relax, collaborate, refuel and connect with colleagues.

Cafes, kitchens, or lounge-style seating should be used for informal connections plus can provide audiovisual equipment for more relaxed meetings. Recreation spaces can include games, fitness zones, quiet areas and community message boards. Outdoor terraces, rooftops and nature trails promote wellbeing. Prioritise lighting, music, artwork and greenery to make all common spaces welcoming and re-energising.

Sustainability

Companies today need comprehensive environmental strategies. Space management plays a key role through tactics like:

Energy efficiency using smart lighting controls, high-performance HVAC systems and automated shutdown of unused equipment.

Materials selection emphasising recyclable, non-toxic goods for construction and furnishings.

Space utilisation and desk sharing to significantly reduce real estate footprints.

Eco-friendly commuting programs such as electric vehicle charging stations and bike storage.

Renewable energy procurement and on-site generation via solar panels.

Conclusion: Embracing the Future of Work

The shift towards hybrid remote and office-based work is an evolution filled with immense opportunity. This hinders agility and collaborative problem-solving.

Feeling disconnected from colleagues. Without regular face-to-face interactions and informal hallway chats, hybrid team members struggle to build trusted relationships, rapport, and engagement with coworkers. Missed opportunities for mentorship and knowledge sharing also result.

Over reliance on asynchronous communication. With fewer chances to talk in real-time, hybrid teams lean heavily on tools like email and messaging platforms. But these channels easily lead to misaligned expectations, confusion, and delays due to back-and-forth responses.

Difficulty picking up on social cues and body language. When communication happens virtually, important nonverbal signals can get lost, leading to misunderstandings.

Traditional office layouts with fixed seating assignments and open floor plans were intended to facilitate in-person collaboration. However, these approaches severely limit flexibility for employees with dynamic schedules and needs. They also lead to lower office utilisation rates.

With so many assigned desks sitting empty on any given workday, organisations struggle to optimise real estate costs. Nearly vacant offices fail to provide a vibrant culture or hub for spontaneous idea sharing, which has led some companies to demand employees return to the office. Employees rightfully question the benefits of commuting to an office if it resembles a ghost town.

As a result, despite physical proximity of workers, traditional approaches utterly fail to meet the communication and flexibility demands of hybrid teams.

The compounding result is disengaged employees, fragmented groups, wasted office space, and barriers obstructing productivity and innovation.

Introducing Desk Booking and Presence Awareness

As organisations shift to flexible and hybrid work models, there is a growing need for platforms that empower employees to collaborate effectively despite distributed locations. Desk booking and presence awareness software meets this need by enhancing visibility into where colleagues are planning to work.

Desk booking platforms enable workers to actively reserve desks and meeting spaces in advance. Employees can select locations and resources based on the type of work they plan to conduct or who they want to work with.

Desk booking promotes both intentional, planned gatherings and impromptu encounters by bringing the right people together in the same physical office location. Rather than playing an endless game of email tag trying to coordinate schedules, employees can use desk booking with scheduling features that provide desks in the same area as the people you work with.

Meanwhile, presence awareness applications provide visibility into where colleagues are planning to work, whether on-site at a company location, at home, or at another third workspace. Presence information is collected based on the hybrid schedule people work and when they request space in the office. If a colleague's presence status shows they are working on-site, employees can leverage proximity to connect in person.

For example, imagine a designer running into an unexpected technical issue that threatens her project timeline. Rather than firing off a vague email and crossing her fingers for a quick response, she can check the presence indicators and see that a developer who could help is at his desk in the office. She quickly pings him on Teams to ask if he has a few minutes to talk through the problem in person, getting the guidance she needs to stay on track.

Without presence awareness facilitating this visibility, such spontaneous problem-solving would be lost in the shuffle of distributed work.

In addition to powering valuable impromptu connections, presence data also leads to enhanced transparency around availability. Employees can better coordinate meetings knowing upfront who is going to be in the office on which days. Presence awareness nurtures the spontaneity, serendipity, and ambient awareness that spark innovation and create vibrant office culture—elements that fizzle out when teams disperse across locations. With insight into where colleagues are planning to work, the fear of being in the office without the people you want to work with in person is reduced.

Together desk booking and presence technologies provide the structure and visibility needed to drive ad-hoc collaboration. Thoughtful implementation empowers employees to work from wherever they are most productive while enabling meaningful in-person gatherings. The result is engaged teams that stay connected despite geographic distribution or flexible schedules.

Benefits of Desk Booking and Presence Awareness for Communication

When thoughtfully implemented, desk booking and presence technologies unlock a range of communication and collaboration benefits for hybrid teams and flexible workforces, including:

Increased In-Person Interaction

Desk booking systems make it simpler for distributed team members to intentionally coordinate working from the same office location. By providing insight into working locations for the week ahead—including who is on-site versus working remotely—presence awareness empowers employees to leverage unexpected opportunities for collaboration and problem-solving. If someone notices a colleague they want to connect with plans to be in the office on Thursday, they can decide to be in the office on the same day.

Reduced Reliance on Asynchronous Communication

With increased opportunities for planned and spontaneous in-person meetings powered by desk booking and presence awareness, teams connect through more real-time conversations. There is less need to use asynchronous channels like email and chat that can be overwhelmed with back-and-forth exchanges. More face-to-face communication means fewer delays, less misalignment, and faster results.

Boosted Employee Satisfaction and Morale

At their foundation, desk booking and presence awareness tools lead to more meaningful human connections within hybrid teams. Instead of feeling isolated and out of sync with coworkers, employees experience improved relationships, camaraderie, and alignment from enhanced daily communication. This drives more engaged, satisfied, and ultimately loyal team members.

With stronger bonds, transparency around availability, and more impactful working sessions, hybrid teams transform into cohesive, high-performing groups where communication flows seamlessly regardless of physical location.

Choosing the Right Desk Booking and Presence Awareness Tools

With the growing popularity of flexible work arrangements, many companies have implemented deck booking tools to help manage the hybrid workplace. It’s essential to carefully evaluate options before implementation to ensure your chosen solutions can drive adoption and align with your organisation's specific culture and needs. Key considerations include:

Ease of Use and Integration

The most fundamental feature of any new workplace technology is an intuitive, seamless user experience. Desk booking and presence tools should integrate cleanly with existing infrastructure like calendar systems and email platforms that employees already use daily.

Look for one-click booking options, automated desk assignments that save manual effort, and centralised dashboards providing a holistic view of the office.

Customisation and Flexibility

Since every company has a unique office footprint and mix of employee work styles, seek out desk booking solutions that provide extensive customisation levers and rules configuration. You should be able to tailor options ranging from booking time increments to floor plan visibility settings based on your culture.

Meanwhile, your presence awareness tools should automatically pull data from sources like calendars and give employees self-service options to update their status or availability indicators.

Smarter Algorithms and Recommendations

Advanced desk booking platforms are now incorporating AI and algorithms to provide personalised desk recommendations based on factors like employees' roles, preferences, habits, and proximity to collaborators. These smart suggestions can guide workers to spaces optimal for their needs while better distributing workers across the office.

Data Security and Privacy

With desk booking and presence tracking capturing sensitive employee information like schedules and location, it’s mandatory to evaluate each platform’s approach to data security and access limitations. Be transparent about what data is gathered and stored while allowing individuals to control sharing if desired.

Scalability

Finally, ensure any system you select provides flexibility to scale up as your workforce grows and evolves. As organisations shift to more dynamic approaches, your tools must keep pace.

One popular all-in-one platform is DuoMe, which empowers simple desk booking alongside rich presence awareness with calendar integrations, indoor maps, and customisable analytics reporting to inform smarter office space planning.

By selecting solutions tailored for your unique priorities around flexibility, user experience, and data privacy, you can maximise value while driving employee adoption.

Implementing Desk Booking and Presence Awareness Successfully

Once you’ve selected the right desk booking and presence awareness platforms for your flexible teams, thoughtful implementation is critical for driving adoption and realising the full benefits of improving the office environment:

Encourage Employee Buy-In

For any new workplace technology, user buy-in is essential. Start by clearly communicating the rationale for implementing desk booking and presence tools, including their benefits for employees in terms of enhanced collaboration, transparency around availability, and more meaningful in-person connections with colleagues.

Keep in mind that some employees may view presence tracking and location sharing as invasive or raise privacy concerns. Be transparent about what data will be visible and allow individuals to limit sharing if desired. You can ease adoption by choosing solutions with features that reduce manual effort, like automatically assigning desks based on schedules or role needs.

Set Clear Guidelines and Expectations

To smooth the transition to desk booking and presence awareness platforms, establish clear policies that set expectations while respecting employee flexibility:

Define any requirements around booking desks versus drop-ins.

Explain appropriate reasons to change or cancel desk reservations.

Set expectations for presence status accuracy and updating frequency.

Develop a code of conduct for using the tools appropriately and respectfully.

Provide Training and Support

Once policies are set, offer training sessions and user guides to boost employee skill and comfort with the new platforms. Cover topics like making and editing desk bookings, updating your presence, and best practices for using presence visibility to identify opportune times for collaboration.

Consider assigning desk booking and presence awareness ambassadors that teammates can go to for assistance.

Track Progress and Impact

Finally, be sure to closely monitor usage analytics and solicit regular user feedback after launch. Survey employees on the impact desk booking and presence tools are having on communication, ability to collaborate, and overall productivity.

Identify where additional training or education may be needed, and refine policies based on learnings. Continued optimization ensures these platforms truly evolve into invaluable systems empowering your flexible workforce.

With the right change management tactics and sustained guidance around usage, organisations can transform desk booking and presence technologies from novel concepts into integral tools driving engagement, innovation, and agility across distributed teams.

Conclusion: Connecting Distributed Teams Through Visibility

As hybrid and dynamic work arrangements become the norm, organizations must take proactive steps to nurture team connectivity, transparency, and agility. Rigid, traditional office layouts fail to provide the flexibility and visibility these new models demand.

Desk booking and presence awareness platforms offer an elegant solution by empowering employees to collaborate in-person while retaining autonomy over where and when they work.

With desk booking systems, distributed teams come together for more impactful meetings, both planned and spontaneous. Companies were thrown into all-remote situations, struggling to adapt to the new way of working. Then as the world edged out of the pandemic, employees made it known that the traditional 9-5 office workplace was not going to cut it anymore. They had grown used to the flexibility and autonomy that working from home allows.

Many individuals will now only consider a job if there is a hybrid or remote option. In fact, data from LinkedIn showed that over 52% of job applications in the US are for remote roles. Clearly, organisations that don’t offer remote or hybrid opportunities are missing out on a huge talent pool of candidates.

Luckily, lots of organisations have listened, introducing hybrid work policies that are going to be permanent. In fact, figures show that 74% of U.S. companies are using or planning to implement a permanent hybrid work model.

Yet, although the hybrid policy is here to stay, the actual policies are still in a state of evolution. Successful organisations are continuously testing, reviewing and adapting their hybrid work policies and tools to find the best models for their companies.

Different organisations have different needs and the hybrid work model is a way to reflect and respect the individuals within the company. We’ve rounded up a group of note-worthy hybrid companies as examples of how to get it right, as well as those that are still learning.

What Is A Hybrid Company?

Let’s be clear first on the definition of a hybrid company, as previously, there were different meanings.

Our DuoMe glossary defines the term as:

“A hybrid company is another term for a blended company. In hybrid companies, some employees work from home or another remote location, while others work from the office. Hybrid companies create a hybrid schedule to suit requirements.”

It’s important to note that a hybrid company can also refer to an organisation that mixes fixed elements and systems in its business model. The most common type would be a hybrid business that combines both for-profit and non-profit activities in its business model.

However, for clarity, the following company examples are only referring to blended companies whose employees work from a mix of locations.

Hybrid Companies Examples

These are some of the best examples of well-known organisations that have introduced hybrid work policies that are here to stay. Better For The Environment: An Analysis
hybrid-work-environment

With hybrid working establishing itself as a long-term trend, there has been a discussion about its potential environmental impact. This article examines the difficult relationship between hybrid jobs and whether they are as environmentally friendly as they seem, as well as including positive suggestions on how companies can achieve sustainable hybrid and remote work.

Is Hybrid Working Better For The Environment?

At first look, it makes sense that hybrid work is more sustainable than onsite-based companies; if people don’t need to travel then they are automatically going to have lower carbon footprints, correct? Unfortunately, this might not be the case.

When the pandemic first hit, large swaths of the global workforce were forced to work from home, as a result, there was a reported 17% decrease in global CO2 emissions. Fast forward 3 years, we haven’t returned to full-time office work and many companies now offer fully flexible roles, yet global emissions have nearly returned to the same levels as their 2019 peak.

Obviously, hybrid work might not be as sustainable as we first thought. Whether or not hybrid work is better for the environment depends on various factors about individual employees and the organisations they work for.

Let’s explore the environmental issues associated with hybrid work and discuss how organisations can reduce their impact.

The Environmental Benefits of Hybrid Work

The pandemic led to an almost instantaneous shift of work, business meetings and conferences moving online. Hybrid companies have a wealth of different technology options available to enable them to conduct nearly all business virtually. This meant companies could, and have, made the switch to WFH or hybrid work models on a permanent basis.

This remote switch is one of the primary benefits of hybrid work from an environmental perspective, that it reduces the need for employees to commute to and from the office. This not only reduces energy consumption but also reduces emissions from transportation. If 3.9 million people switched to remote work for half their working days, thereby halving their commute time, then that would save the same amount of greenhouse gas as taking 600,000 cars off the road every year!

However, cars are a drop in the ocean compared to aeroplanes. Taking cars off the road isn’t enough to lower companies’ emissions. Actually, it was the immediate drop in air travel that was one of the principal reasons for global emissions falling during the pandemic. Therefore, anything companies can do to keep flying to a minimum must be encouraged.

Finally, with so many people working at home, hybrid work can lead to a decrease in office energy output. On a larger scale, careful hybrid office design and office space management can result in lowered energy bills. And on a micro level, hybrid employees require fewer office supplies for their work like paper, pens, and stationary, as everything can now be done online.

Many companies have implemented sustainability initiatives such as cutting down on plastic packaging materials or collecting used products for recycling, which further contributes to reducing waste from offices.

During the pandemic, recycling actually increased, suggesting that employees practice better sustainability behaviours at home than in the office. Although this depends on local services and as hybrid workforces are often global, levels of recycling vary depending on where employees are based.

Company initiatives like recycling subscribe to the ethos that ‘every little helps’, but is that enough when it comes to decreasing a company’s carbon footprint?

Disadvantages Of Hybrid Work For The Environment

Despite the many potential environmental benefits associated with hybrid work, the reality is somewhat different and there are complexities to consider.

Firstly, while offices might decrease their energy usage there is an increase in domestic energy usage from home office equipment such as computers and printers. WFH or hybrid employees may not be as energy conscious when it comes to turning off lights, electronics and other appliances that can contribute to greenhouse gases. This is especially true if their company is subsidising their energy bills for their WFH days.

More than energy bills though are heating costs; working from home may lead to an increase in emissions due to the increased use of at-home heating. This is because WFH employees are more likely to heat their homes for longer periods than those who go into the office or travel for work.

How To Reduce The Environmental Impact Of Hybrid Work

There are several steps that businesses can take to reduce the environmental impact of hybrid work.

For example, to tackle the issue of WFH employees heating their homes, companies could take a combined strategy. A UK study conducted by a 200-employee-strong consulting firm, WSP, showed that the most effective way to reduce carbon emissions in their hybrid workplace was for employees to work from home during summer months and then commute into the office during the colder months.

By taking a hybrid approach, WSP manages to lower the net carbon footprint of its employees. This approach would also be beneficial in helping companies reduce their energy consumption costs, as they wouldn’t need to keep their offices running at total capacity throughout all of the seasons.

On a much larger level, enterprise with the capacity, will need to look towards utilising green energy sources such as solar or wind power to reduce energy consumption and emissions associated with electricity usage.

Whilst on a smaller level, all businesses, large and small can be investing in more energy-efficient office equipment as a way to contribute. It is also the perfect time to do this as many companies are adapting their offices to hybrid work with renovations like hybrid meeting rooms or on-site canteens, as ways to encourage people to collaborate.

Every time a business outsources a service, it should seek other companies that are trying to be more sustainable as well. For example, there are eco-friendly courier and shipping companies that focus on reducing carbon footprints, or for example, buying in reusable packaging to reduce emissions from shipping.

How To Achieve Sustainable Remote Work

When it comes to achieving truly sustainable remote work, it will take a prolonged long-term effort to introduce hybrid company policies that make a difference.

Companies should create greener policies that prioritise sustainability in the workplace and promote an eco-friendly culture. These initiatives could involve implementing a company-wide recycling program. Also, organisations should review their business models to see how they can reduce their environmental impact, no matter how small the adjustment.

This could include making changes such as using renewable energy sources for operations or investing in technology with lower carbon footprints. Organisations could consider ways to incentivise employees who adopt sustainable practices while working remotely by offering rewards such as discounts on products or services that are produced sustainably.

Other ideas include bike-to-work schemes or subsidised public transport costs. Hybrid work can make it more difficult to achieve a balance between professional and personal life as there are often blurred lines between home and the office.

In this article, we will discuss how hybrid work affects the work-life balance, how working from home affects the work-life balance, and ways to create a balanced lifestyle from both an employee and employer perspective.

How Does Hybrid Work Affect Work-life Balance?

While hybrid work can have many advantages namely around the extra freedom and autonomy over personal schedules. There are also some drawbacks that must be taken into account when evaluating hybrid work.

One challenge that many individuals often face when transitioning to a hybrid office is maintaining a good work-life balance. Without a clear divide between professional and personal time, many employees report longer working hours and finding it hard to switch off in their personal time leading to fatigue.

In fact, one such study by TINYpulse on the State of Employment found that up to 80% of employees who had switched to hybrid were more tired and stressed than before.

How does working from home affect work-life balance?

ONS data from February 2022 showed that more than three-quarters (78%) of individuals who worked from home in some capacity said that being able to work from home gave them an improved work-life balance.

However, it can also be challenging to set boundaries between work and personal life when working from home. Without having a physical separation between the two, it can be difficult to stay focused and productive during work hours when surrounded by a mountain of household chores to get on with.

The possible negative effects of blurred work-life boundaries shouldn’t be enough to put anyone off the hybrid work model though, as the many benefits do more than enough to outweigh them.

In order to maintain a good work-life balance while working from home, it is important to set both physical and mental boundaries between professional and personal life. We’ll get into these now.

5 Ways To Manage The Work-Life Balance In The Hybrid Workplace

1. One effective strategy that helps is creating a schedule and sticking to it as much as possible. By setting clear boundaries around when you will be working, you can ensure that you have time for both your professional responsibilities and personal pursuits.

Prioritising your schedule to allow for dedicated periods of focus on work, will then allow you to feel guilt-free about taking time off to pursue your personal interests.

2. Another tip is to schedule in-person meetings on office days. By doing so, you are cementing the importance of the physical workplace and creating an environment where employees can form meaningful relationships with their colleagues.

In-person meetings provide a unique opportunity for people to connect on a personal level and develop stronger working relationships that can lead to increased productivity and job satisfaction. By making sure that crucial meetings take place in the office while also allowing for flexibility when it comes to remote work, hybrid companies can strike a balance between maintaining a strong work culture while still offering their employees the freedom they have come to appreciate.

📘

Related Reading: How To Encourage Your Employees To Go To The Office

3. In order to create an ideal work-life balance, it is important to set boundaries between your professional and personal life. As mentioned previously, this can partly be achieved by creating a fixed schedule of when you are working, but you also need to follow through and make sure you follow this approach during the weekends. Not responding to work emails, calls or messages, since family and friends should take priority at this time.

If you find it challenging to switch off from work-related activities, one effective strategy is to have a second phone that is strictly reserved for personal use only. This phone should have no work-related apps or email access, to ensure zero distractions from your professional life while you are trying to relax with family and friends.

4. If you're looking to maintain a healthy work-life balance in the hybrid workplace, it's important to focus specifically on your well-being. One easy way to do this is by taking regular breaks throughout the day.

Whether that means stepping away from your computer for a quick walk or simply stretching at your desk, giving yourself time to recharge can help reduce stress and fatigue.

In addition to taking breaks, engaging in self-care activities like exercise or meditation can also be incredibly beneficial. Exercise has been shown to improve mood, boost energy levels, and reduce symptoms of anxiety and depression. Meanwhile, practising mindfulness techniques such as meditation or deep breathing exercises can help calm both mind and body during times of high pressure.

Even starting small, incorporating little habits into your work day, you'll likely find that you have more energy and focus for tackling tasks when they arise. And this will lead to a better overall balance between work and life outside of the office.

5. Finally, delegating responsibilities or collaborating with others when possible is an excellent way to alleviate stress while maintaining productivity levels. When working from home, it’s all too easy to become siloed and feel as if you don’t have a team to support you when you’re snowed under with work.

If there are tasks that someone else could handle more effectively than you, consider passing them off so that both parties benefit from optimised efficiency.

Splitting up tasks really comes down to open communication in the workplace. Being intentional about how we manage our workload enables us not only better manage stress levels but also to achieve the elusive work-life balance.

📘

Related Reading: 7 Ways To Improve Remote Collaboration

How can employers encourage work-life balance in a hybrid office?

Employers have an important role to play in encouraging their employees to maintain a good work-life balance in hybrid offices.

Designing hybrid work schedules that work for individuals is going to be crucial in ensuring a healthy work-life balance is achieved. It will be up to leaders to take charge and ensure that everyone feels valued enough to speak openly if they are feeling overwhelmed by their workloads.

Going further, company culture and hybrid policies should be focused on employees’ well-being. Initiatives like wellness programs, encouraging physical activity, or providing healthy snacks during meetings. spaces, which provide flexible and cost-effective solutions for businesses and their employees.

Optimising shared office spaces is essential for promoting productivity and collaboration among team members. In this blog, we'll explore tips and ideas to help busy working professionals make the most out of their shared office space, from furniture choices to smart technology.

Open Spaces For Hybrid Companies

Shared open office spaces have become a popular choice for many successful hybrid companies. The open plan of these spaces provides ample room for employees to spread out and work comfortably, without feeling cramped or confined in their own space. Additionally, the desk configurations are typically arranged facing each other, fostering collaboration and teamwork.

What’s further is that open-plan offices are extremely flexible when it comes to reconfiguring things down the line. With fewer physical walls and barriers within the space, changes can be made relatively easily to accommodate shifting needs as they arise.

However, it's important to note that while there are many benefits to working in an open-plan environment, it may not be ideal for everyone. For some employees, they may prefer quieter environments in order to focus on their tasks at hand, this type of workspace can prove challenging. To counter any potential issues related to noise levels or distractions within an open-plan setting, consider setting aside designated areas or ‘pods’ within the office where individuals can retreat for quiet work time.

Here are our top tips for organising shared office spaces for maximum productivity and collaboration.

1. Prioritise Flexibility and Adaptability

A key aspect of creating an efficient shared office space is ensuring that it can accommodate different workflows and individual preferences. This requires flexibility and adaptability in both the space's layout and furniture choices.

One way to achieve this is through modular furniture and movable workstations. These can be easily rearranged to suit varying needs, allowing teams to come together on projects or work individually as required. Additionally, adjustable desks and chairs can help promote ergonomics and comfort, ensuring that each person can work effectively without unnecessary strain or discomfort.

2. Encourage Collaboration

Shared office spaces offer an excellent opportunity to promote collaboration among team members. To make the most of this potential, it's important to create dedicated collaboration zones within the space.

One way to do this is by arranging workstations in clusters or incorporating communal tables where team members can gather for discussions or group work. Also, make sure you make the most of technology such as video conferencing tools and digital whiteboards which can help facilitate hybrid meetings, ensuring that everyone stays connected and engaged, regardless of their physical location.

3. Incorporate Breakout Spaces

Having designated areas for breaks and informal meetings can greatly enhance the overall functionality and atmosphere of shared office space. These breakout spaces provide places for team members to relax, recharge, and engage in casual conversations that can spark creativity and nurture work relationships. Ultimately providing reasons for employees to want to come into the office.

Breakout spaces can take many forms, from lounge areas with comfortable seating to standing tables that encourage movement and interaction. Outdoor spaces, when available, can also provide a refreshing change of scenery for employees. To create a welcoming and comfortable atmosphere in these spaces, consider incorporating elements such as plants, artwork, and soft lighting. If budget permits, companies can can consider purpose-built communal canteens or bars in their duome hybrid office design.

4. Optimise Acoustics

Noise can be a significant challenge in shared office spaces, particularly when multiple conversations or activities occur simultaneously, but yet they do not get the attention they deserve. To maintain focus and productivity, it's essential to address acoustics within the space.

Using sound-absorbing materials, such as acoustic panels or carpeting, can help reduce noise levels and create a more comfortable environment for working. This article is all about hybrid meeting rooms, what they are and how to create one in your organisation.

What Is A Hybrid Meeting Room?

A hybrid meeting room is where organisations can hold meetings for everyone at the same time, no matter their location. The hybrid meeting room is a key feature for any modern workplace that has hybrid, remote and office-based employees.

The way the world conducts meetings is changing, a recent October 2022 statistic revealed that only 20% of meetings are now fully in-person, with the other 80% being virtual or hybrid meetings.

Hybrid meeting rooms allow organisations to maintain collaboration no matter the location, be it across different office locations, coffee shops or even airport departure lounges. Companies that do not create dedicated hybrid meeting rooms will be struggling to keep up with the changing face of business as the future of work becomes hybrid.

If you’re still confused as to what is meant by a hybrid meeting, we’ve also created this guide on hybrid meeting etiquette that explains all.

Why Hybrid Meeting Design Is Important

Jaime Teevan, chief scientist from Microsoft, spoke on the importance of designing a well-thought out hybrid meeting room. “The risk of hybrid meetings is that in-person attendees become anonymous faces in a room, while remote attendees are left speaking into a void, not knowing if they are seen or heard, or how to jump in and take a turn,”

Hybrid meetings need to be an inclusive experience for all attendees to maximise collaboration and boost productivity. There are many different aspects to consider when creating the perfect meeting room, let’s take a closer look at our top tips for designing the ideal hybrid meeting room.

Tips On How To Design A Hybrid Meeting Room

Technology Is Key

First and foremost, when it comes to adapting your conference rooms for hybrid meetings, technology is going to be the focus.

The audio, visual and recording equipment chosen must be of the highest quality possible in regard to your budget. As a base, your hybrid meeting room will require a decent camera, display screens, microphones and speakers. Each device’s software should be certified to work with your primary collaboration tools with most vendors offerings, Works with Teams or Zoom support..

If you need to compromise on design aspects to ensure the equipment and hardware is up to spec, then consider it a worthwhile sacrifice. Hybrid meetings can be difficult as they are, trying to include both remote and physical attendees, technology doesn’t need to be an extra barrier.

📕

Read More: How To Make Hybrid Meetings More Collaborative

Video Options

The market leaders for video conferencing platforms, including Zoom and Microsoft Teams, have built their product offerings to include hybrid meeting room solutions including tabletop touchscreen interfaces. These high-spec products can help ease barriers between participants and create a smooth experience for all.

Remote attendees might find it hard at points to focus on who is doing the talking, adaptive video cameras can help with this. Smart cameras can automatically detect who is doing the talking and focus on them, and then when required, can zoom out for a group view. Then, finally, you can also incorporate video switchers into your video conferencing platform to stream video multiple angles. These can create a more natural feeling meeting for remote participants.

Zoom’s Smart Gallery goes a step further incorporating AI to detect the individual faces of in-person participants. Then it pulls them onto the same screen as if they were remote participants to create the classic gallery view of individual squares like in virtual meetings.

Large, Clear Screens

Although this may depend largely on the space available in your meeting room, ideally when it comes to display screens, the larger the better. Another route to consider are smart projectors that easily turn a blank wall into a giant screen for a truly immersive experience for all attendees.

The most successful hybrid meetings allow all attendees to collaborate and share content as they would if they were all in the same room. Consider dual screens that allow for remote participants to be visible whilst also being able to present decks or spreadsheets on a separate screen.

Collaboration

On the topic of display screens is collaboration. Monitors would ideally be interactive computers as opposed to dated TV screens hooked up to laptops.

Hardware like interactive whiteboards that in-person attendees can use are great and then you can introduce, graphic tablets which remote attendees can use to access the same whiteboard could be a great hack. The options are endless and nowadays, are only truly limited by costs.

Think Of Remote Attendees

When designing the room, it’s all too easy to focus on the in-person attendees’ experience and forget about possible remote participants.

In order to maximise engagement levels for all atendees, when setting up things like cameras, test out the angles to ensure that it will be a pleasant viewing experience for remote workers as well.

Scheduling Tools

From a more practical viewpoint, if your organisation holds a lot of hybrid meetings throughout the day, you will want to consider scheduling tools for booking meeting rooms. Fortunately there are lots of options available, with capabilities to schedule direct on an app or computer, avoiding any double-booked scenarios.

Scheduling systems are also useful tools in effective office space management. If you are still in the planning stages of adapting your meeting rooms to the hybrid workplace, you could analyse your schedule tool’s data to analyse how, when and where people are using meeting rooms. Are the smaller rooms more popular? Are they being used for the correct purpose? Perhaps you might want create different sized meeting rooms depending on the data gleaned.

Microphones And Speakers

While allocating resources to the different technology and equipment, be careful not to focus too much on display and recording software. There’s nothing worse than poor audio during a hybrid meeting, resulting in endless requests to repeat sentences.

Hybrid meeting rooms must have microphones that can pick up audio from 360 degrees with speakers that can pick up and relay vocal frequencies easily, without interference from background noise. There are specialist conference speakers available that can do this, and coupled with individual microphones placed around the room or infront of each participants will provide the perfect audio experience. The final touch is a mixer, this is software that can combine audio from different microphones and put it into one single channel for remote attendees.

Space Is Important

Pre-pandemic when most meetings were held in-person, it was easier to cram more attendees into a smaller space with standing meetings. However, with the advent of hybrid work, technology is becoming more and more important and so there needs to be sufficient space for all the necessary equipment.

Your meeting room will need enough space to comfortably fit large display screens that can show 6-9 participants on gallery mode. Then you will need to have ample space between each seated participant to ensure that microphones and smart cameras can distinguish between speakers and focus on the correct face.

Cramped environments can also affect the acoustics of a meeting room translating into a poor audio experience for remote attendees. Where viable, consider bringing in experts to ensure the optimum setup is created.

Lighting

If you’re designing your meeting room from scratch, you’d be well-placed to consider lighting in the drawings. Lighting can play a huge role in creating the right atmosphere for a collaborative experience that energizes participants. Opt for even and diffused lighting with soft ceiling lights.

No One Wants To See Wires

Wires and plugs can turn the most sleek conference room into a clunky environment. Try and minimise the visibility of wires where possible, both from an aesthetic point of view and also for the IT teams benefit. A good solution to cut down on the number of wires is to opt for bluetooth connectivity where possible.

Final Words

After going through all the necessary points to consider when bringing in hybrid meeting rooms, the first step will be to decide whether you can make a few adjustments to an existing meeting room or if you need to bring in the designers.

With all the technology involved, hybrid meeting rooms aren’t a cheap investment but they are vital to the running of a modern organisation.

sizes="(min-width: 720px) 720px">

Collaborative Areas

Corporate offices should always aim to foster an environment of collaboration to keep creativity and innovation levels high. Ideally, a modern workplace would already have thought about an office redesign, especially if they have adopted a hybrid work model.

However, if your current organisation is behind the times, then the first step to improving the workplace would be to introduce designated collaborative spaces. These can include conference rooms or break-out areas, where employees can brainstorm ideas together.

Comfort First

First off, before any other office improvements are made, let’s start with the basics.
